The Vancouver Chapter of ARMA International is delighted to present "EDRMS or Shared Drive: Two Case Studies in Managing Enterprise Records", the first event of the 2014/15 year.

The biggest challenge and excitement records managers embark on is probably implementing a new records management system. And the success of this implementation project seems little to do with the fanciness of the system technology. Today, you will be presented with two different case studies on managing enterprise document and records. Join us!

Organizing Shared Drives - A Case Study
Anne Rathbone and Kris Boutilier, Sunshine Coast Regional District

With 44,500 folders containing 465,000 files in its shared drive and the volume growing daily, the staff at the Sunshine Coast Regional District (SCRD) struggled with finding files, information silos and duplicating documents that already existed. Records Management and Information Technology staff collaborated to spearhead a shared drive restructure project to gain control of the SCRD's electronic documents. From developing the Request for Proposals to implementing all the changes, this case study will show how to undertake such a project, what worked and what could have been improved.

The Safari into an EDRMS
Bernice Chong, Law Society of B.C.

This case study is to review the steps the Law Society of B.C. undertook to implement an electronic document management system (EDRMS). The presentation will highlight the processes undertaken by the organization to facilitate the acceptance of the importance of information management and the roles and responsibilities of staff. The paper will also provide some thoughts about the success and challenges of the project results.


SPEAKERS
Anne Rathbone, CRM
Anne Rathbone has a background in Chemical Sciences, specializing in Pulp and Paper. She has 18 years RIM experience, all with local government. She is currently the Records Management Technician for the Sunshine Coast Regional District (SCRD) and was one of the leaders on the SCRD's shared drive project. She developed the RFP and worked closely with the consultant on the new shared drive framework. In addition, she provided the training for all staff on the new shared drive and is responsible for maintaining the integrity of the new framework.

Kris Boutilier
During his 20 years in IT with the Sunshine Coast Regional District, Kris Boutilier has had first-hand experience of a government organization growing from dozens to hundreds of users, storage capacity increasing from hundreds of Megabytes to Terabytes and the exponential growth in information exchange and hoarding made possible by the adoption of the Internet into the workplace.

Bernice Chong, MAS
Bernice Chong is currently the Manager of Operations of the Law Society. She holds both a Master of Archival studies degree and a Bachelor of Education degree from the University of British Columbia.
